They are seeking a dependable, detail-oriented professional to serve as the trusted right hand to the owner, managing a combination of executive assistant, personal assistant, and administrative tasks.

Job Description

  • Provide executive assistant and personal assistant support to the firms owner
  • Conduct client intakes for the personal injury law firm
  • Manage accounts payable and limited receivables, entering transactions in QuickBooks
  • Prepare and maintain balance sheets and financial reports
  • Coordinate personal tasks such as vehicle rentals, gift orders, and special arrangements
  • Track rental tenant payments and coordinate contractor repairs as needed
  • Answer phones and provide professional client and vendor communication
  • Assist with settlements and prepare medical reports (training provided)
  • Proactively anticipate needs and act independently without constant direction

Qualifications

  • Professional QuickBooks experience required
  • Proven dependability and trustworthiness
  • Strong multitasking, organization, and communication skills
  • Previous executive assistant, personal assistant, or office management experience preferred
  • Legal or personal injury law firm experience is a plus, but not required
  • Comfortable managing both administrative and personal-support duties
  • Stable work history no frequent job hopping
