Location: Ormond Beach, Florida (on-site)

Note: Must be comfortable as a primary front-desk point of contact while also owning detailed data accuracy, scanning, and document organization in firm systems.

Their work includes Medicaid planning, asset protection, estate planning, trusts, probate, guardianship, and long-term care planning across Florida.

Job Description

  • Own front desk presentation and keep client-facing areas clean, calm, and professional
  • Review new matters to ensure intake data correctly migrated into the case management system
  • Fix missing or incorrectly formatted information and maintain naming / filing standards
  • Prepare signing appointment packets: print, assemble, tab, and organize documents in advance
  • Support signing appointments as needed (including serving as a witness)
  • Scan/upload executed documents same day and route originals appropriately
  • Process incoming mail twice daily: date-stamp, sort, scan, and file same day
  • Prepare outgoing mail, including certified and tracked shipments
  • Receive physical client documents, scan/upload within 24 hours, label correctly, and protect confidentiality
  • Perform daily opening and end-of-day reset procedures for reception and signing areas

Qualifications

  • 1+ year experience in a receptionist, office coordinator, admin, records, or data-heavy support role (law firm a plus)
  • Polished, professional client-facing demeanor (in person + phone)
  • Strong attention to detail with scanning, filing, and data entry
  • Organized, process-driven, and reliable with time-sensitive tasks
  • Comfortable working in CRM / case management systems (training provided)
  • Discreet with sensitive client information
