Location: This role is based in-person at our St. Charles, IL office — a warm, team-oriented environment where collaboration happens every day. Remote flexibility may be available on an occasional basis once you're fully up to speed.

Note: This role requires a minimum of 3 years of hands-on estate administration and/or guardianship experience. Applicants without this background will not be considered.

Job Description

  • Manage and administer estate and trust administration matters from opening to close
  • Support guardianship proceedings, including court filings, correspondence, and case tracking
  • Draft legal documents, letters, and pleadings under attorney supervision
  • Communicate directly with clients, courts, financial institutions, and other parties in a professional and empathetic manner
  • Maintain organized case files and ensure deadlines and court dates are met
  • Coordinate with attorneys to move matters forward efficiently and accurately
  • Handle sensitive family situations with discretion, care, and professionalism

Qualifications

  • 3+ years of experience in estate administration and/or guardianship (required)
  • Strong written and verbal communication skills
  • Ability to manage multiple active matters simultaneously with precision
  • Comfortable working independently while also thriving in a team environment
  • Experience with probate court filings and procedures preferred
  • Paralegal certificate or relevant legal education a plus
