Job Description
- Process agent commissions accurately and on time from contract through closing and disbursement
- Review and interpret Closing Disclosures, ALTA statements, and transaction documents
- Calculate and validate commission structures, including tiered splits, caps, referrals, and team arrangements
- Serve as a key point of contact for title companies, agents, lenders, accounting, and internal teams
- Identify and resolve commission, closing, and transaction discrepancies before closing
- Process pending and closed sales transactions into accounting software accurately and efficiently
- Review deal management system files to ensure transaction records are complete and updated
- Monitor overdue, expired, pending, and closed files and update statuses as needed
- Handle daily commission check and wire deposits
- Assist with 1099 year-end processing and related accounting record maintenance
- Respond to wire confirmation emails and confirm wire instructions by phone
- Complete daily EFT and Positive Pay bank uploads
- Prepare and send daily closed sales reports
- Update agent information related to commission schedules, bank account details, address changes, and related records
- Process fall-through transactions, rental commissions, and referral commissions as needed
- Support special reporting requests and help improve commission tracking workflows
- Maintain clean, accurate, audit-ready records across all transactions
- Respond to emails in a timely, professional manner
- Help troubleshoot transaction, commission, and system-related issues
Qualifications
- 2+ years of direct experience in real estate commission processing, title company processing, closing coordination, or brokerage transaction operations
- Hands-on experience calculating agent commissions and handling commission disbursements
- Experience reviewing Closing Disclosures, ALTA statements, and real estate transaction documents
- Strong Excel, Word, Outlook, and general computer skills
- QuickBooks, Brokerage Engine, deal management system, or real estate accounting software experience preferred
- Accounting degree or equivalent accounting experience highly preferred
- Strong attention to detail and ability to manage multiple transactions at once
- Ability to work independently with minimal oversight
- Strong organization, prioritization, and follow-through
- Professional communication style with agents, staff, management, title companies, lenders, and customers
- High ethical standards and commitment to accuracy and confidentiality
- Positive attitude, process-driven mindset, and willingness to learn new systems
