Job Description

  • Serve as a key point of contact for incoming clients and help ensure a professional, responsive, and compassionate intake experience
  • Assist with case intake and opening to set up files for litigation workflow from the outset
  • Prepare and send formal requests for medical and other records, along with HIPAA authorizations and related forms, by fax, mail, email, and vendor platforms
  • Research and identify custodians of records using internet, phone, and other resources to support timely records collection
  • Conduct follow up calls and outreach to providers and custodians to ensure records are received within an acceptable time frame
  • Process medical records and related documentation received electronically and in paper form
  • Scan, upload, organize, and save records, images, and related documentation into the case management system
  • Verify the accuracy and completeness of patient and case information received from providers and clients
  • Communicate with medical providers to collect, confirm, and organize required case specific information
  • Maintain organized databases, tracking logs, and case records to ensure all information is accurate, current, and accessible
  • Open new files, enter client and matter data, and help maintain complete digital case organization
  • Prepare engagement letters, fee agreements, authorizations, and onboarding documentation for review and execution
  • Work closely with attorneys, partners, legal staff, and support staff to resolve intake issues and ensure cases are set up properly
  • Utilize case management software to track case progress, maintain accurate information, and support team workflow
  • Help flag missing information, pending records, or intake gaps so files are ready for efficient litigation handling

Qualifications

  • Strong experience in a personal injury or civil litigation law firm environment
  • Hands on experience with medical records requests, HIPAA authorizations, and records follow up
  • Experience with plaintiff side client intake, file opening, and case setup preferred
  • Strong organizational skills and ability to manage a high volume of records, requests, and case details simultaneously
  • Strong written and verbal communication skills with the ability to interact professionally with injured clients, providers, and legal staff
  • Experience maintaining accurate databases, logs, and case management records
  • Proficiency with case management software such as Litify, Clio, MyCase, Filevine, Needles, or similar
  • Proficiency with Apple computers, Adobe Acrobat Professional, Microsoft Word, Excel, Outlook, PowerPoint, QuickBooks, and scanning systems
  • Strong attention to detail and follow through
  • Ability to work on site and support a fast paced plaintiff litigation team
  • Preferred experience in personal injury, products liability, trucking, or catastrophic injury matters
  • Preferred bilingual Spanish
