Job Summary

We are looking for an Admin & Executive Assistant specializing in property management to support day-to-day operations and executive-level tasks. The ideal candidate will excel at managing administrative duties, property-related documentation, and calendar coordination, ensuring seamless operations for property managers and clients.

Responsibilities

  • Provide administrative support to property managers, including email and calendar management.
  • Draft, edit, and organize property-related documents, including lease agreements and notices.
  • Schedule and coordinate property inspections, repairs, and maintenance.
  • Communicate with tenants, owners, and vendors to resolve issues promptly.
  • Manage property management software, ensuring accurate data entry and updates.
  • Generate reports on property performance, occupancy, and maintenance activities.
  • Prepare presentations, proposals, and meeting agendas for executives.
  • Handle confidential and sensitive information with discretion.
  • Assist with ad hoc tasks to ensure smooth property management operations.

Qualifications and Skills

Required:

  • Proven experience in property management or administrative roles (2+ years).
  • Proficiency in property management software (e.g., AppFolio, Buildium, Yardi).
  • Strong written and verbal communication skills in English.
  • Excellent organizational and multitasking abilities.
  • Proficiency in MS Office Suite and Google Workspace.

Preferred:

  • Experience as an Executive Assistant or similar role.
  • Knowledge of US property management regulations.
  • Familiarity with creating reports and presentations.
