Job Summary
We are seeking a detail-oriented and highly organized Administrative Support Specialist with expertise in the CINC system, specifically in HOA violations, collections, and administrative tasks. The ideal candidate should have strong multitasking abilities, excellent communication skills, and the ability to support office operations while optimizing workflows.
Responsibilities
- CINC System Management: Utilize the CINC platform to track and manage HOA violations, collections, and compliance-related tasks.
- HOA Violations & Collections: Monitor and process HOA violation notices, maintain accurate records, and ensure proper communication with homeowners regarding compliance.
- Phone & Email Support: Provide professional and efficient phone and email support to homeowners, board members, and vendors regarding HOA-related concerns.
- Data Management: Maintain and update HOA records, reports, and financial documentation within the CINC system.
- Administrative Coordination: Assist with general office administration, including scheduling, document organization, and workflow optimization.
- Workflow Optimization: Identify areas for improving efficiency and automation within administrative processes.
- Report Generation: Prepare and distribute violation reports, financial summaries, and collection updates as needed.
- Collaboration: Work closely with HOA managers, board members, and homeowners to ensure smooth community operations.
- Compliance & Record Keeping: Ensure all HOA policies and procedures are accurately documented and adhered to.
Qualifications and Skills
Experience:
- 1-2+ years of experience in an administrative or property management role, preferably within an HOA environment.
- Proven expertise using CINC software for HOA violations, collections, and data management.
Technical Skills:
- Strong proficiency in CINC system for HOA tracking and collections management.
- Experience with Microsoft Office Suite (Excel, Word, Outlook) and data entry systems.
- Ability to generate and interpret reports related to violations, collections, and compliance.
Soft Skills:
- Strong organizational and multitasking abilities to manage multiple administrative responsibilities efficiently.
- Excellent verbal and written communication skills for interacting with homeowners, board members, and vendors.
- Problem-solving mindset with the ability to handle disputes professionally and diplomatically.
- Attention to detail and accuracy in tracking violations, payments, and documentation.
- Ability to work independently in a remote setting while maintaining productivity and efficiency.
