Position Summary:
The Proposal Coordinator supports the proposal development process by assisting with the creation, organization, and submission of proposals. This role focuses on ensuring that proposals meet client requirements and internal standards while adhering to deadlines.
Key Responsibilities
- 1. Proposal Support: Assist in preparing and organizing proposal content, ensuring alignment with RFP requirements and company guidelines. Serve as primary point of contact with external teaming partners, as needed.
- 2. Content Development: Format, proofread, and edit technical and marketing content, including resumes, project descriptions, and narratives. Maintain and refine a library of reusable content, such as resumes, project sheets, and boilerplate responses. Ensure all content reflects the company's capabilities, experience, and achievements, while adhering to branding guidelines.
- 3. Scheduling: Track proposal timelines and deadlines, coordinating with internal teams to ensure timely submissions.
- 4. Collaboration: Work closely with marketing, technical staff, and external partners to gather information for proposals.
- 5. Template Management: Use and maintain proposal templates and tools to ensure consistency and efficiency.
- 6. Database Management: Update and manage databases of project descriptions, staff resumes, and other reusable proposal resources.
- 7. Quality Assurance: Ensure all submissions are formatted, branded, and compliant with client and company standards.
Qualifications and Skills
Required:
- Bachelors degree in Marketing, Communications, Business, or a related field.
- 1-2 years of experience in proposal coordination, preferably in the AEC industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Creative Suite (InDesign).
- Strong written and verbal communication skills with exceptional attention to detail.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Preferred:
- Experience with CRM or proposal management software (e.g., Deltek Vantagepoint)
- Familiarity with AEC terminology, processes, and standards
- Creative design skills
- Persuasive writing skills
