Workshop Administrator

Key Responsibilities include but not limited to:

  • Receive, record, and inspect all buses entering the workshop. Complete all necessary documentation and update the software accordingly.
  • Deliver, track and update Work orders to the Supervisor for assignment to technical personnel.
  • Updating records on time, including software such as Maximo with any related data such as opening/completing Work Orders, as well as inputting of hours.
  • Assuring the staff complete the required works, and their job card.
  • Filling out job cards or any other documentation related to the job to fully assure traceability
  • Update the VOR status daily according to the progress of maintenance or repairs.
  • Ensure that towed buses have a WO and are prioritized in the VOR system.
  • Maintain constant communication with the Supervisor and Workshop Manager regarding vehicle status in the workshop.
  • Ensure that all documentation related to completed bus repairs is properly filed.
  • Participate in internal audits related to WO management and VOR control.
  • Generate periodic reports depending on the exigencies of the workshop
  • Following company health and safety policy.
  • Any other duties related to the job position that may be required depending on the exigencies of the business at the time.

Requirements:

  • ECDL qualification
  • Language Requirement: Intermediate/Advanced English required. Maltese and Spanish are desirable.
  • Two (2) years working experience in the same role or related roles like fleet operations, fleet logistics or vehicle maintenance workshop.
  • Proficiency experience with documentary management and fleet logistics such as Maximo)
  • Proficient use of MS applications especially MS Excel and MS word
