Sales Coordinator
Job Description:
The Sales Coordinator acts as the key link between Sales Offices and Head Office, managing stock across multiple sales channels, including third-party distributors, and producing regular reports. The role supports the Sales Manager to ensure smooth operations, maintain strong relationships with sales agents, and guarantee that all sales offices operate safely, securely, and to high quality standards.
Main Duties

Monitor and control all travel card and top-up voucher stock movements, maintaining accurate records.

Provide monthly reports on stock levels across all channels and share accurate data with Finance.

Ensure all Sales Agents and third-party distributors are adequately stocked and replenished.

Monitor individual sellers stock levels to prevent shortages or overstocking.

Liaise with third parties for packing and distribution of stock to sales outlets.

Prepare monthly stock usage and distribution reports for Finance.

Update and improve procedures to ensure efficient operations at Sales Offices and Head Office.

Collaborate with Finance to prepare month-end reports.

Prepare and verify employee timesheets, including calculating Sales Agents commissions for Payroll.

Coordinate the mail run between Head Office and Sales Offices, typically three times per week.

Conduct weekly checks at Sales Offices to monitor marketing material and stock quality.

Manage employee rostering, including overtime scheduling and weekend cover for sick leave.

Reconcile daily Sales Agent transactions and resolve queries from agents or distributors.

Perform any other duties related to the role as needed.
Education / Qualifications

Ordinary level education, including Mathematics.

Proficiency in verbal and written English; Maltese is advantageous.

Strong proficiency in MS Excel.

Minimum 12 months experience in sales back-office operations.
