The Operations Coordinator plays a key role in ensuring smooth day-to-day logistics operations by tracking shipments, coordinating with carriers, and maintaining accurate system records. This role focuses on proactive communication, operational accuracy, and customer satisfaction in a fast-paced logistics environment.

The primary objective of this role is to take ownership of daily operational tasks so leadership can focus on business growth.

Objectives of this role:

  • Ensure timely and accurate shipment coordination from pickup to final delivery

  • Maintain seamless and proactive communication between customers, carriers, and internal teams

  • Support daily logistics operations through strong organization, tracking, and documentation

  • Operate independently while managing assigned workloads with minimal supervision

    

Responsibilities:

  • Track and monitor shipments from pickup through final delivery

  • Perform track-and-trace activities and proactively update customers on shipment status or delays

  • Build, manage, and update shipment orders within the system

  • Dispatch loads to assigned carriers and coordinate pickups and deliveries

  • Communicate with carriers and drivers regarding schedules, ETAs, and operational updates

  • Prepare, review, and verify shipping and operational documents for accuracy and completeness

  • Troubleshoot routine operational issues and escalate complex concerns when necessary

  • Maintain accurate records and ensure all systems are consistently updated

  • Provide customer service support related to shipment inquiries

  • Support additional operational and administrative tasks as required

Required skills and qualifications:

  • Strong attention to detail and exceptional organizational skills

  • Clear English communication skills with a customer-focused mindset

  • Ability to work independently in a fast-paced operational environment

  • Proactive, self-managed, and solution-oriented working style

  • Proficient in Microsoft Office Suite (Outlook, Teams, Excel, Word)

  • Comfortable using logistics, tracking, or operational software

  • Strong time management and multitasking abilities

  • Must have a Windows-based computer (required for system access)

Preferred skills and qualifications

  • Prior experience in logistics, transportation, or operations coordination

  • Familiarity with shipment tracking systems or Transportation Management Systems (TMS)

  • Experience working directly with carriers, drivers, or operational documentation

  • Freight brokerage experience (U.S./Canada) is a strong advantage

  • Strong problem-solving and critical-thinking abilities
