The Appointment Setter is responsible for reaching out to leads, prospects, and clients to schedule and confirm appointments while ensuring smooth coordination across the team. This role requires excellent communication, organizational skills, and attention to detail to keep calendars accurate, maximize productivity, and minimize scheduling conflicts.

Objectives of this role:

  • Ensure a consistent flow of scheduled appointments for the sales and client-facing teams.

  • Act as the first point of contact with prospects and clients, setting a professional and positive tone.

  • Maximize team productivity by keeping calendars accurate and optimized.

Responsibilities:

  • Contact leads and prospects via phone, email, or messaging platforms to schedule appointments.

  • Confirm and follow up on scheduled appointments to reduce no-shows.

  • Maintain and update the appointment calendar for sales representatives or service providers.

  • Coordinate with internal team members to ensure availability and proper time allocation.

  • Record and track client interactions in the CRM system or scheduling tool.

  • Assist in qualifying leads by gathering basic information before scheduling.

  • Provide reminders and confirmations to clients regarding their upcoming appointments.

  • Escalate urgent scheduling issues or conflicts to the appropriate team member.

Required skills and qualifications:

  • Proven experience as an appointment setter, scheduler, or in a similar administrative or sales support role.

  • Excellent verbal and written communication skills.

  • Strong organizational skills with keen attention to detail.

  • Comfortable making outbound calls and handling follow-ups.

  • Ability to manage multiple calendars and prioritize tasks effectively.

  • Familiarity with CRM systems and scheduling tools (Job Nimbus CRM, Excel, Trello).

  • Reliable, proactive, and able to work independently with minimal supervision.

  • Highly motivated and able to speak perfect English.

  • Confident, positive phone presence with the ability to think on their feet.

  • Team player who works well with others.

  • Experience working with a Roofing company.

  • Knowledge of lead generation practices and sales processes.

  • Ability to adapt to fast-paced environments and shifting priorities.
