We are seeking a highly detail-oriented and process-driven Accounting Manager/Finance Lead to oversee all financial operations across multiple entities. This role is responsible for ensuring accurate, audit-ready financial records, managing AP/AR, and delivering clear financial reporting to leadership.

Objective of this role:

  • Maintain accurate, audit-ready books across all entities
  • Ensure consistent financial processes and reporting standards
  • Provide clear financial insights to leadership
  • Enforce internal controls and financial policies
  • Support budgeting and financial planning initiatives


Responsibilities:

Multi-Entity Financial Management

  • Manage accounting operations across multiple entities
  • Maintain separation of financials while consolidating reporting
  • Track intercompany transactions and ensure accuracy

Accounts Payable (AP)

  • Process invoices and enforce No Invoice, No Payment policy
  • Prepare weekly payment batches
  • Submit payment schedules for CEO approval (Thursdays)
  • Execute approved payments via Brex (Fridays)

Accounts Receivable (AR)

  • Track incoming payments and receipts
  • Monitor outstanding invoices and follow up on collections
  • Provide weekly receivables reports

Weekly Financial Operations Cycle

  • Thursday: Submit approvals, receivables report, financial dashboards
  • Friday: Execute approved payments

Financial Reporting

  • Prepare weekly reports (sales, cash flow, AP/AR summaries)
  • Maintain entity-level and consolidated financial dashboards
  • Deliver insights to leadership

Budgeting & Financial Planning

  • Build and maintain budgets for each entity
  • Track performance vs. budget
  • Update forecasts and provide consolidated insights

Audit-Ready Bookkeeping

  • Maintain accurate records in QuickBooks
  • Ensure all books are audit-ready at all times
  • Implement and enforce strong internal controls

Payroll Management

  • Oversee payroll processing via Gusto
  • Ensure payroll accuracy and reconciliation

Email & Communication Management

  • Manage AP and AR inboxes
  • Respond to vendors and clients regarding billing and payments
  • Maintain organized communication records

Data Room & Documentation Management

  • Maintain a centralized, audit-ready data room
  • Ensure weekly uploads and proper organization of all financial documents
  • Maintain structured documentation across all entities

Collaboration with Executive Assistant

  • Review and validate all financial documentation
  • Provide workflows and guidance to the Executive Assistant
  • Maintain full ownership of financial accuracy and payments
  • Oversee data room standards and organization


Required skills and qualifications:

  • Proven experience in accounting or finance leadership roles
  • Experience managing multi-entity accounting
  • Strong proficiency in QuickBooks
  • Experience with Brex or similar payment platforms
  • Experience with Gusto or similar payroll systems
  • Strong understanding of AP, AR, reporting, and budgeting
  • High attention to detail and strong organizational skills
  • Strong communication and coordination abilities
