We are seeking a Virtual Assistant to provide high-level administrative and operational support, ensuring efficiency across the organization. This role is integral in coordinating communications, managing scheduling, maintaining organized records, and supporting both office and field-based team members. The ideal candidate is proactive, highly organized, and capable of maintaining a bird’s-eye view of business operations to help the team stay aligned and productive.

Objectives of this Role:

  • Maintain operational organization and consistency across business functions.

  • Support field-based and management teams by handling administrative and scheduling tasks.

  • Ensure smooth communication between internal staff, clients, and vendors.

  • Strengthen the company’s online presence through consistent and professional social media management.

Responsibilities:

  • Manage and respond to incoming calls, emails, and client inquiries promptly and professionally.

  • Coordinate meetings, appointments, and project schedules for management and field teams.

  • Perform administrative tasks such as data entry, record maintenance, and documentation management.

  • Oversee social media scheduling and posting (mainly on Instagram), ensuring consistent and engaging content presence.

  • Collaborate with internal and external stakeholders, including vendors, suppliers, and clients.

  • Maintain accurate and organized files using company tools and systems.

  • Provide operational support as needed to improve efficiency and workflow.

Required Skills and Qualifications:

  • Excellent verbal and written communication skills.

  • Strong organizational and time management abilities.

  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive).

  • Experience with CRM platforms such as HubSpot.

  • Familiarity with project management tools such as BuilderTrend.

  • Comfortable using Zoom and WhatsApp for internal and client communications.

  • Proactive, dependable, and team-oriented work ethic.

  • Ability to multitask and maintain accuracy under minimal supervision.

Preferred Skills and Qualifications:

  • Prior experience supporting teams in construction, real estate, or design-build industries.

  • Familiarity with social media management tools or platforms for scheduling and analytics.

  • Experience with content coordination or light social media posting.

Additional Information:

  • This is a remote, full-time position.

  • The role is a replacement and is expected to be filled within 30 days.
