This role requires exceptional attention to detail, strong communication skills, and the ability to work independently across multiple time zones. The ideal candidate thrives in a fast-paced environment, can anticipate needs before they arise, and provides reliable support across executive operations, communications, scheduling, and strategic initiatives.

Objectives of this role:

  • Provide seamless executive support to founders to maximize efficiency and productivity.

  • Ensure smooth operations through effective calendar, travel, and inbox management.

  • Support business growth with recruiting coordination, lead generation, and marketing tasks.

  • Maintain organization and scalability through consistent workflow documentation.


Responsibilities:

  • Communications & General Support
    • Manage inbox and calendars: triage emails, prioritize, draft responses, and schedule meetings.

    • Coordinate travel: book flights, hotels, conferences, and prepare visa documentation.

    • Handle event coordination: research and reserve venues for business events or dinners.

    • Prepare for meetings: create agendas, conduct background research, draft follow-ups, and take notes.

    • Track expenses and reimbursements: collect receipts, reconcile credit card statements, and coordinate payments.

    • Manage documents: organize contracts, investor materials, and files in Google Drive/Notion.

    • Support recruiting: post job descriptions, screen resumes, schedule interviews, and manage candidate communication.

  • Founder Leverage & Personal Support
    • Assist with board and investor preparation: collect key metrics and format reports.

    • Manage networking follow-ups: introductions, LinkedIn notes, and thank-you emails.

    • Support lead generation: scrape target contacts, verify emails, and organize prospect lists.

    • Engage with community: follow up with individuals interacting with content.

    • Provide office transition support: screen office locations, manage furnishings, and utilities setup.

    • Handle personal tasks: bill pay, reservations, gift research, and office supply ordering.

  • Marketing & Social Support
    • Coordinate publishing of content on LinkedIn, Twitter/X, or newsletters.

    • Monitor engagement: track and report interactions for timely founder follow-ups.

  • Process & Workflow Support
    • Create SOPs to document recurring workflows for consistency and scalability.

Required skills and qualifications:

  • Proven experience as an Executive Assistant, Virtual Assistant, or similar support role.

  • Strong organizational and project management skills with exceptional attention to detail.

  • Excellent written and verbal communication abilities.

  • Ability to handle confidential information with discretion and professionalism.

  • Proficiency with tools such as Google Workspace, Notion, and other productivity software.

  • Highly proactive, resourceful, and able to work independently across multiple time zones.

Preferred skills and qualifications

  • Experience with CRM tools (e.g., Attio or similar).

  • Familiarity with project management tools (e.g., Linear or equivalent).

  • Experience with investor relations, including cap table updates and board meeting coordination.

  • Comfortable with light QA/testing tasks and prescreening product-related issues.

  • Previous experience supporting executives in a startup or tech environment.

  • Mac laptop preferred for software consistency (not required).
