We are seeking a proactive, highly organized, and resourceful Executive Assistant to support the daily operations of a busy executive and their real estate business. This role combines personal assistant duties with administrative support, property management coordination, and light marketing tasks. Objectives of this role:

  • Provide comprehensive administrative support to ensure smooth operations

  • Manage calendars, communication, and event coordination

  • Support property management workflows and maintain relevant systems

  • Help streamline internal processes and support business growth

  • Contribute to marketing tasks (email and text-based)


Responsibilities:

  1. Administrative & Calendar Management
    1. Manage calendars, appointments, and meetings for the executive.
    2. Schedule and coordinate events, property-related activities, and personal errands.
    3. Draft and proofread communications, presentations, and reports.
  2. Travel & Errands
    1. Coordinate domestic and international travel plans (flights, accommodations, transportation).
    2. Run personal errands such as appointment scheduling and bill handling.
  3. Communication & Correspondence
    1. Handle calls, emails, and messages on behalf of the executive.
    2. Serve as a liaison between the executive and clients, vendors, or partners.
    3. Assist with basic email and text-based marketing campaigns.
  4. Property & Project Support
    1. Update and maintain property management systems.
    2. Assist with onboarding tenants and scheduling showings or maintenance.
    3. Help streamline internal processes and document workflows.
  5. Event Planning & Coordination
    1. Organize and coordinate personal and business-related events, dinners, meetings, and conferences.
    2. Liaise with vendors and service providers as needed.
  6. Special Projects & Research
    1. Research a wide range of topics, including personal interests, business matters, and travel plans.
    2. Support ad hoc projects with a flexible, can-do attitude.


Required skills and qualifications:

  • Proven experience as an Executive Assistant or Administrative Assistant.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail).

  • Ability to multitask and prioritize in a fast-paced environment.

  • High level of discretion in handling sensitive information.

  • Self-starter who can work independently and proactively.

Preferred skills and qualifications

  • Experience with property management software

  • Background in administrative support within the property management industry

  • Familiarity with email and text marketing tools

  • High school diploma or equivalent; Bachelors degree preferred.
