The Virtual Assistant role is responsible for providing comprehensive administrative support to the company's founders to help free up their time and enable them to focus on sales and business growth. Objectives of this role:

  • Provide administrative and operational support to ensure smooth business operations.

  • Assist with client-facing and internal tasks such as bill analysis, CRM updates, event coordination, and vendor follow-up.

  • Strengthen the company’s digital presence through LinkedIn content support and effective email management.

Responsibilities:

  • Admin Support: Manage the founders' calendars, schedule meetings, and coordinate travel arrangements.

  • Client Bill Analysis: Review telecom and technology invoices to identify potential cost savings, service inefficiencies, and contract optimization opportunities.

  • CRM Updates: Enter and maintain data in Zoho CRM, ensuring accurate reporting of sales activity, quote status, and client interactions.

  • Event Coordination & Follow-Up: Track invites, RSVPs, and follow-ups for marketing events, including post-event outreach and CRM updates.

  • Vendor Follow-Up: Monitor open quote requests from vendor partners, ensure timely responses, and update CRM records.

  • LinkedIn Content Support: Draft and schedule posts for company and leadership LinkedIn accounts to support brand and marketing campaigns.

  • Email Monitoring: Help manage inboxes for leadership, flagging urgent items, routing requests, and following up where needed.

Required skills and qualifications:

  • Proven experience in administrative or virtual assistant roles.

  • Strong skills in: Bill analysis, CRM data entry and management, Event coordination, LinkedIn content management, Email monitoring, and organization

  • Proficiency with Zoho CRM, Microsoft 365, LinkedIn, and Zoom.

  • Excellent organizational and communication skills.

  • High attention to detail and ability to multitask effectively.

  • Demonstrated ability to work independently and take ownership of tasks.

  • Can adapt to changing priorities and handle a variety of tasks with a positive attitude.

Preferred skills and qualifications

  • Familiarity with reviewing invoices and identifying discrepancies.

  • Experience supporting sales or marketing activities.

  • Prior exposure to telecom or technology services (not required, but a plus).

  • Ability to learn new tools and processes quickly.
