Job Requirements:

  • Proven Experience with Tools: Proficiency in Gmail, Google Calendar, Motion AI, Superhuman AI, and project management tools with prior hands-on experience in similar roles. 
  • Strong Organizational Skills: Ability to manage complex schedules, track multiple tasks, and maintain meticulous attention to detail for calendar and email management. 
  • Task Prioritization Expertise: Skilled in categorizing tasks (urgent vs. non-urgent) and ensuring timely completion using structured workflows and systems. 
  • Communication Excellence: Exceptional verbal and written communication skills with experience providing concise updates, reports, and client correspondence.
  • Familiarity with Nonprofit / Philanthropy Work: Interest or experience in supporting nonprofit initiatives or philanthropic efforts is highly preferred. 
  • Tech-Savvy with Adaptability: Comfortable navigating document management systems, Google Drive, and other tech platforms with a readiness to learn new tools as needed.

Core responsibilities:

  • Calendar Management & Time Blocking: Manage and optimize daily schedules using Google Calendar and Motion AI, implementing time-blocking strategies, color-coding, and ensuring no conflicts or double bookings. 
  • Email Management & Organization: Process and respond to emails efficiently using Gmail and Superhuman AI, applying labels, prioritizing tasks, and ensuring all communications are addressed within 24 hours. 
  • Task Prioritization & Tracking: Maintain a master task list using project management tools, prioritize tasks based on urgency, track deadlines, and send reminders to ensure timely completion of all responsibilities. 
  • Daily & Weekly Reporting: Prepare daily briefs with schedules, priority tasks, and pending decisions, along with weekly accomplishment reports and updates on long-term projects. 
  • Effective Communication Protocols: Provide timely updates via email or messaging platforms, including daily status updates, task completion reports, and red flags needing immediate attention.
  • Tool & System Management: Ensure seamless use of all required tools, including Gmail, Google Calendar, project management tools, document management systems, and communication platforms, with full integration across workflows.
