Position Overview

We are seeking a highly poised, proactive, and seasoned Executive Administrative Assistant to provide comprehensive support to our CEO. This is a critical role within a fast-paced, high-stakes investment environment. The ideal candidate will act as a strategic gatekeeper and "right hand," managing the CEOs professional and occasionally personal logistics with precision, discretion, and a high level of service.

Key Responsibilities

  • Calendar & Inbox Management: Proactively manage a complex, shifting calendar. Screen, prioritize, and draft responses for a high volume of emails and correspondences.
  • Meeting Coordination: Organize internal and external meetings, including board presentations, investor calls, and committee meetings. Ensure the CEO is fully briefed with necessary materials (decks, bios, agendas) beforehand.
  • Travel Logistics: Arrange sophisticated domestic and international travel itineraries, including private/commercial flights, ground transportation, and lodging.
  • Office Operations: Serve as the primary point of contact for the CEOs office. Manage filing systems, expense reporting (via Concur or similar), and document signatures.
  • Liaison Duties: Act as a professional bridge between the CEO and department heads, investors, and high-net-worth clients.
  • Personal Support & Errands: Handle occasional personal tasks and errands to ensure the CEOs daily efficiency remains uninterrupted.

Qualifications & Requirements

  • Experience: Minimum of 5–7+ years of experience in an administrative capacity, preferably within Finance, Law, or a similar corporate environment.
  • Proven Longevity: A stable work history demonstrating 3+ years of tenure in previous positions is a strict requirement.
  • NYC Professionalism: Exceptional verbal and written communication skills with the "thick skin" and agility required for the New York investment landscape.
  • Technical Proficiency: Mastery of Microsoft Office 365 (Outlook, Excel, PowerPoint).
  • Discretion: Absolute integrity and the ability to handle sensitive, confidential financial information.
  • Adaptability: Ability to be "on-call" as needed and pivot quickly when priorities change.
