JOB PURPOSE

Coordinate and efficiently execute the export sales process, ensuring the timely dispatch of orders and the proper execution of negotiations, adhering to high-quality standards to guarantee customer satisfaction and loyalty.

ORGANIZATIONAL POSITION

The position reports directly to the Senior Sales Export Manager and works cross-functionally with the Production, Logistics, Finance, and Customer Service departments.

MAIN FUNCTIONS AND RESPONSIBILITIES

1. Sales and Production Management

  • Coordinate production planning for exports using tools like Forecast to anticipate demand and ensure availability.
  • Schedule and ensure the timely fulfillment of export dispatches, coordinating with all relevant departments.
  • Send and follow up on price changes, special offers, and execution reports with clients and the sales team.

2. Administration and Documentation

  • Execute and optimize administrative processes within the department, ensuring efficiency and regulatory compliance.
  • Manage and prepare the necessary documentation for dispatches and public agencies, verifying compliance with applicable regulations.
  • Accurately record tax obligations, ensuring transparency and adherence to deadlines.
  • Request and send credit notes to sellers and customers as required.

3. Customer Relations and Post-Sales Service

  • Proactively and efficiently assist clients in administrative and commercial matters, ensuring high-quality service aligned with the company's image.
  • Manage and resolve customer complaints and claims, following up on action plans to ensure resolution and satisfaction.
  • Coordinate with Logistics to guarantee on-time delivery as per agreed terms.

4. Financial Control and Management

  • Keep accounts receivable updated, ensuring adherence to payment terms to prevent delays and optimize cash flow.
  • Manage discount exceptions authorized by the Commercial Management.

5. Performance Indicators and Reporting

  • Update and monitor key performance indicators (KPIs) and administrative metrics, generating periodic reports to aid decision-making.
  • Manage and analyze customer order reports, identifying opportunities for process improvement and enhanced service.
