The HR Process Documentation Specialist is responsible for creating, maintaining, and continuously improving clear, user-focused documentation that enables consistent and compliant execution of HR processes. This role partners closely with HR and cross-functional teams to translate process changes into practical materials, including SOPs, checklists, job aids, and audit-ready documentation, to support operational excellence, standardization, and end-user adoption across the organization. This role will have a key focus on configurations and process updates for integration combined processes to support end-user adoption.
Key Responsibilities:
- Translate HR processes, policy updates, and system-related changes into clear, practical, and easy-to-follow documentation.
- Develop and maintain SOPs, job aids, process checklists, training materials, and end-user guides.
- Update documentation to reflect changes in UKG, People Assist (HR ticketing system), and related modules
- Partner with HR and system teams to gather requirements and confirm accuracy of documented processes
- Ensure documentation follows established templates, standards, and governance requirements
- Support training efforts by preparing materials and assisting with end-user readiness
- Review and revise existing documentation to improve clarity, usability, and consistency
- Track and manage documentation updates to ensure materials remain current and accessible
- Assist in identifying gaps or inconsistencies in HR processes and escalate for resolution
- Support the creation of audit support materials and how-to guides for key compliance-related activities
Required Qualifications:
- 3–5+ years of experience in HR operations, HR systems, business process documentation, or a related role
- Experience creating SOPs, job aids, and training materials for business or system processes
- Familiarity with HRIS platforms (UKG preferred) and/or HR service management tools (e.g., ticketing systems like People Assist, ServiceNow, etc.)
- Strong written communication skills with the ability to translate technical or complex processes into clear, user-friendly documentation
- High attention to detail and ability to ensure accuracy and consistency across materials
- Experience working with cross-functional teams (HR, IT, Operations)
- Proficiency in Microsoft Office (Word, PowerPoint, Excel) or similar documentation tools
Preferred Qualifications (Optional):
- Experience supporting HR system implementations for organizations undergoing growth, transformation.
- Knowledge of HR processes (e.g., onboarding, employee lifecycle, case management)
- Familiarity with documentation standards, process mapping, or governance frameworks
- Experience with content management or knowledge base tools
