Admin Supervisor cum Executive Secretary

Location : District 3, HCMC.

Report to : CEO

Company : A top leading in nutrition of American global Corp.

Salary: Nego from  30 Mil – 40 Mil VND

·       Responsible for providing effective secretarial and administration assistance to the Sub-Regional General Manager Vietnam, Thailand & Cambodia (“GM”)

·       Maintains GM's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travels arrangements.

·       Represents GM by attending meetings in GM's absence; speaking for the GM.

·       Responsible for the coordination of all management meetings/conferences and ensures agenda are sent out and minutes are taken and actions followed through with stakeholders.

·       To coordinate with Admin Supervisor to be responsible for all office management and administration function and ensure that its policies and procedures are carried out properly and effectively.

·       To assist and support in the organizing and administering of all office facilities and services, which includes and not limited to the coordination and maintenance of the office building lease.

·       Review operating practices and implement improvements where necessary.

·       Assists in events (local/regional) and/or other external affair support the management.

·       Perform any other task including special projects and analytical supports or any other relevant and related duties as may be assigned by GM.

 

Requirements:

·       Minimum Diploma in Business Administration or related. 

·       Most have more than 3 year’s of personal secretarial and office management/administration experience

·       IT / human resource administration experiences in multinational company or international environment will be an added advantage

·       Possess a ITM/HRM certificate with some familiarity of local labor law plus other relevant/legal regulations and current HR practices and policies will be an added advantage

·       Good communication skills with fluent spoken and written English

·       Proficient with Microsoft Office environment (Word, Excel, Power Point, Visio, Email)

·       Good administration and negotiation skills

·       Good coordination and communication skills

·       Mature, pleasant, well-organized and self-motivated

·       Hands-on and willing to roll up sleeves to do the jobs

·       Good interpersonal and team player skills – strong customer service oriented

·       Ability to work independently and has good initiative

·       Ability to solve practical problems and carry out responsibilities under general supervision

·       High level of confidentiality required

·       Must be able to see, hear, speak and write clearly in order to communicate with employees
