Key Project Deliverables:

  • Efficiently manage candidate reports Ensure timely and accurate formatting, completion, and uploading to Bullhorn.
  • Job ad management Post job adverts on Seek, maintain a record of posted ads, and track performance.
  • Proactive workload management Claim and complete tasks from the central mailbox without waiting for direct assignment.
  • Support recruitment administration Handle document requests (e.g.,
  • DocuSign, qualification checks, reference checks) efficiently.
  • Marketing & branding contribution (future growth) Manage distribution lists for marketing purposes and assist with Canva-based content.
  • Ensure accuracy in scheduled reporting Maintain and update key
  • recruitment reports (e.g., contractor margin forecast, invoice reconciliation).

2. Role & Candidate Profile

Job Title: Recruitment Administrator

Level: Intermediate

Core Responsibilities:

Recruitment Administration

  • Prepare & upload candidate reports (Word, Bullhorn).
  • Post, track & record job ads on Seek.
  • Process employment documents (DocuSign, qualification/reference checks).

Work & Task Management

  • Manage the central mailboxclaim & complete tasks proactively.
  • Coordinate with teams to ensure smooth task completion.
  • Handle high-volume requests with accuracy & efficiency.

    Reporting & Data Management
  • Assist in weekly placements & update Bullhorn records.
  • Reconcile invoices & maintain contractor margin reports.
  • Generate ad hoc reports as needed.

    (Growth Area) Marketing & Branding Support
  • Manage & update marketing distribution lists (top priority).
  • Edit & create Canva materials (LinkedIn tiles, mailers).
  • Support events & branding after mastering core tasks.

Required Skills & Qualifications:

  • Education: Bachelors degree in Business Administration, Human Resources, Communications, or a related field (preferred but not mandatory)
  • Years of Experience: 1-2 years of experience in HR administration, recruitment support, or a related field (preferred but not mandatory)

Technical Skills:

  • Applicant Tracking System (ATS) Knowledge Experience with Bullhorn or similar systems.
  • Microsoft Office Proficiency Strong skills in Word (report formatting) and Excel (data tracking, reconciliation, forecasting).
  • Job Board Management Posting and tracking ads on SEEK or similar platforms.
  • Canva Design Skills Creating LinkedIn tiles, mailers, and invites using templates.
  • DocuSign & Compliance Handling Managing digital documentation and qualification checks.

Soft Skills:

  • Attention to Detail Ensuring accuracy in reports, compliance checks, and data entry.
  • Organizational Skills Managing multiple tasks such as job postings, reporting, and recruitment coordination.
  • Communication Skills Professional email writing and clear coordination with recruiters, candidates, and clients.
  • Time Management Prioritizing tasks like job postings, reporting deadlines, and event coordination.
  • Proactive & Adaptable Handling ad hoc tasks and supporting the recruitment team as needed.
