Executive Business Partner 

Job Brief

Peoplegig is seeking a highly capable Executive Business Partner to support our Co-Founders and serve as a central driver of office operations, governance, and business support.

This role goes beyond a traditional Executive Assistant. It is designed for someone who can own operations, drive structure, and act as a strategic right hand to leadership—while also ensuring the smooth running of day-to-day administrative, IT coordination, and team support functions.

You will be a force multiplier for the founders, balancing executive support with operational leadership, vendor coordination, and internal governance. The ideal candidate is proactive, highly organized, commercially aware, and confident making decisions independently.

Key Responsibilities

1. Executive & Leadership Support

  • Provide high-level support to two Co-Founders, including:
    • Complex calendar and diary management
    • Prioritization of meetings and requests
    • Travel planning and logistics (local & international)
  • Prepare presentations, reports, and leadership decks
  • Support high-touch client interactions (Brand Experience level scheduling & coordination)
  • Act as a gatekeeper and facilitator of leadership priorities

2. Business Operations & Governance

  • Drive internal governance processes and operating rhythms
  • Support or implement frameworks such as EOS (Entrepreneurial Operating System)
  • Prepare and manage top-down reporting decks and updates
  • Ensure alignment across leadership priorities and execution
  • Act as a first escalation point for operational issues

3. Office Management & Administration

  • Oversee day-to-day office operations and administration
  • Lead planning and execution of:
    • Offsites
    • Townhalls
    • Internal events
  • Maintain office systems, supplies, and vendor relationships
  • Ensure a high-functioning, well-organized workplace environment

4. IT & Vendor Coordination

  • Serve as first-level help desk coordinator:
    • Triage issues and coordinate with IT vendors
  • Manage vendor relationships (IT, facilities, services)
  • Ensure timely resolution of operational and technical issues

5. Sales & Business Support

  • Provide administrative support to sales and client-facing teams
  • Assist in proposal formatting, presentations, and documentation
  • Support scheduling and coordination for client engagements

6. Document & Information Management

  • Maintain organized and accessible documentation systems
  • Ensure proper document control and versioning
  • Support knowledge management across the team

    • Executive Assistant, or

    • Business Operations / Chief of Staff-type role
  • Strong presentation and deck-building skills
  • Excellent communication and stakeholder management
  • Experience with vendor management and coordination
  • Comfortable handling multiple functions (admin, ops, IT coordination)
