Position Summary:

We are seeking a detail-oriented and proactive Mortgage Loan Specialist to support a growing mortgage brokerage business operating in the Australian market. This role is ideal for someone with industry experience and strong administrative, technical, and client service skills. You will be responsible for assisting with loan application processes, client support, document management, CRM maintenance, and regulatory compliance. Initially, the role will be backend-focused, with limited direct client interaction, gradually expanding into a client-facing position.

Key Responsibilities:
1. Client Interaction & Support
  • Assist with client onboarding by sending welcome communications and guiding them through the documentation process.

  • Manage email, phone, and chat inquiries (limited to internal processing early on).

  • Schedule and organize virtual meetings, consultations, and follow-ups for the broker.

  • Provide basic support on processes, services, and documentation requirements.

2. Document Management
  • Organize and maintain digital client records in cloud-based systems (e.g., Google Drive, Dropbox).

  • Prepare and format documents such as loan applications, proposals, and client forms.

  • Review documents for completeness, signatures, and compliance.

  • Monitor document submissions and follow up with clients or third parties as needed.

3. Application Processing & Data Entry
  • Complete and lodge loan applications via ApplyOnline and other lender portals.

  • Enter data into MyCRM, CoreLogic, and other platforms.

  • Track and report on the status of each application.

  • Ensure applications comply with relevant regulatory standards before submission.

4. Scheduling & Calendar Management
  • Manage and maintain the brokers calendar and meeting schedule.

  • Coordinate appointments with clients, lenders, underwriters, and other stakeholders.

  • Send timely reminders for meetings, deadlines, and document submissions.

5. Communication & Correspondence
  • Monitor and manage brokers inbox, flagging urgent matters and drafting responses.

  • Conduct follow-ups with clients regarding outstanding documents or tasks.

  • Draft and distribute newsletters or updates about industry news and service offerings.

  • Liaise with lenders and financial institutions on behalf of the broker and clients.

Optional/Advanced Responsibilities (Based on Experience):
6. Marketing & Social Media Management (Optional)
  • Manage content for LinkedIn, Facebook, and Instagram.

  • Assist in creating blog posts, articles, or email campaigns.

  • Run online ads and track performance.

7. Reports & Analytics (Optional/Advanced)
  • Generate reports on application success rates and business KPIs.

  • Assist in preparing monthly or quarterly financial performance summaries.

  • Conduct basic market research on rates, competition, and trends.

8. Compliance & Regulatory Assistance
  • Stay up-to-date on changes to mortgage and financial regulations in Australia.

  • Assist in preparing compliance-related documentation and audit materials.

  • Ensure client files meet legal and lender-specific compliance standards.

9. Tech Support & System Maintenance (Optional)
  • Provide basic support for MyCRM, ApplyOnline, and related systems.

  • Troubleshoot technical issues and liaise with platform providers if needed.

10. Miscellaneous Support
  • Assist with booking travel or accommodation (if required for broker).

  • Support event/webinar planning and coordination.

  • Help track and report on business expenses and invoicing activities.

Key Skills & Qualifications:
  • Experience in the Australian mortgage broking industry (required).

  • Proficiency with MyCRM, ApplyOnline, CoreLogic, and Microsoft Office/Google Suite.

  • Excellent written and verbal communication skills.

  • Strong organizational and time management skills.

  • Familiarity with compliance standards in Australian financial services.

  • Ability to work independently and manage competing priorities.
