Position Summary:
The Executive Assistant to the CEO at Pinnacle Intelligence is a highly strategic and indispensable role, providing comprehensive, high-level administrative and operational support directly to the Chief Executive Officer. This position requires an individual of exceptional integrity, discretion, and proactive initiative, capable of anticipating the CEO's needs, managing complex schedules, and handling sensitive information with utmost confidentiality. The Executive Assistant will act as a critical liaison, gatekeeper, and project coordinator, ensuring the CEO's time is optimized and executive operations run seamlessly within our fast-paced, innovative environment.
Key Responsibilities:
1. Executive & Administrative Support:
- Manage the CEO's extremely dynamic and complex calendar, prioritizing appointments, meetings, and travel to maximize efficiency.
- Coordinate and arrange extensive domestic and international travel logistics, including flights, accommodations, ground transportation, and detailed itineraries.
- Prepare and submit accurate expense reports and manage invoices and vendor relations for the CEO's office.
- Act as a primary gatekeeper, screening and directing incoming calls, emails, and correspondence, and escalating matters as appropriate.
2. Communication & Correspondence Management:
- Draft, proofread, and edit high-level internal and external communications, presentations, reports, and documents on behalf of the CEO.
- Manage and organize the CEO's email inbox, prioritizing messages, drafting responses, and ensuring timely follow-up.
- Facilitate effective communication between the CEO and internal teams, board members, clients, and external stakeholders.
3. Meeting & Event Coordination:
- Organize and prepare for all CEO meetings, including scheduling, setting agendas, preparing detailed briefing materials, arranging logistics (rooms, catering, technology), and taking accurate minutes.
- Coordinate and manage executive-level events, conferences, and team gatherings, ensuring flawless execution.
4. Strategic & Project Support:
- Assist the CEO with special projects, research, and presentations, often involving confidential company information and strategic initiatives.
- Compile data, prepare summaries, and perform analyses to support the CEO's decision-making processes.
- Follow up on action items and commitments from meetings, ensuring tasks are completed by relevant parties.
5. Confidentiality & Discretion:
- Handle all sensitive company information, proprietary data, and personal matters with the highest level of confidentiality, professionalism, and discretion.
- Maintain strict privacy and security protocols for all documents and communications.
6. Office & Resource Management:
- Ensure the CEO's office is efficiently organized and equipped.
- Coordinate with various departments (e.g., IT, Facilities, Finance) to ensure the CEO has all necessary resources and support.
Skills & Qualifications:
Required:
- Experience: Minimum of 5+ years of dedicated executive assistant experience, with at least 2-3 years directly supporting a C-level executive (CEO, President, COO) in a fast-paced corporate or BPO environment.
- Exceptional Organizational & Time Management: Masterful ability to manage complex calendars, prioritize tasks, and juggle multiple demands with impeccable attention to detail.
- Impeccable Communication: Superior written and verbal communication skills, with the ability to articulate information clearly, concisely, and professionally to diverse audiences.
- Advanced Technical Proficiency: Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
- Unwavering Discretion & Confidentiality: Proven ability to handle highly sensitive and confidential information with absolute integrity and sound judgment.
- Proactive & Resourceful: Strong initiative to anticipate needs, foresee potential issues, and independently find solutions without explicit direction.
- Strong Interpersonal Skills: Professional demeanor, poise, and the ability to build rapport and work effectively with individuals at all organizational levels.
- Adaptability: Ability to thrive in a dynamic, high-pressure environment with changing priorities and tight deadlines.
Preferred:
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience supporting an executive in the automotive, technology, or BPO industries.
