Document Controller - Life Science & Industrial Manufacturing Projects

We are seeking to appoint a talented, full-time Document Controller to support major capital projects in the Life Sciences and Industrial Manufacturing sectors. In this pivotal role, the Document Controller will work with the site Capital Lead, Project Managers and Project Engineers across the site self-directed work teams and hub teams to support the delivery of operational and capital projects.
Responsibilities
Document Control System Management: Develop, manage, and maintain a comprehensive document control system ensuring proper recording, transmission, and tracking of program and project-level documents, including RFIs and approvals.
Training & Support Oversight: Train project-level staff on the document control filing system and coordinate with on-site document control personnel to ensure consistent practices across all teams.
Quality Assurance & Compliance: Conduct quality checks on all incoming documents, enforcing adherence to established naming conventions and submittal standards; reject and request resubmission of non-compliant documents.
Filing System Standardization: Maintain a uniform, simplified filing system supported by a documentation flow chart and consistent file naming; manage distribution lists to ensure accurate routing of documents.
Document Logging & Tracking: Establish detailed document logs for tracking key control documents such as RFIs, change orders, site instructions, safety documentation, test reports, and handover/closeout materials.
Baseline & Revision Control: Maintain structured procedures for document baselining, revisions, and controlled distribution, including daily and weekly reports, 6-week lookaheads, and project schedules.
Auditing & Program Implementation: Conduct regular file audits, attend node-specific meetings, and implement the Quality Assurance Program as outlined in the organizational playbook.
Qualifications
- 5+ years of relevant capital project experience in Life Science/ Pharmaceutical or other highly complex projects
- Proficient in Microsoft Office Suite, database management and pertinent EDMS/PMIS software
- Experience in change management, project delivery processes, vendor and construction turnover packages, CQV and or PQ/PV documentation administration
- Excellent verbal and written communication skills and exceptional customer service capabilities
- Basic construction knowledge
- Experience with the flow of RFI responses and the ability to establish strong relationships with colleagues and project members
