Platinum Outsourcing is one of Australia's fastest growing companies, we are a co sourcing BPO – operating out of both the Philippines and Indonesia. We are a fast growing scale-up, opening our first offices in the Philippines only 4.5 years ago, currently a global team of 250, we have plans to expand to 500+ employees over the next 3 years.

We are seeking an Administration and Projects Assistant who will play a crucial part in ensuring the smooth running of our client's day-to-day operations and supporting ongoing projects.

Our client is the leading provider of paramedics, event first aid and emergency medical services for public & private events and industry across Australia.

Responsibilities:

Primary Duties

  • Level 1 Duty Supervisor (Call Centre) Support

    • Roster changes / sick leave cover
    • Equipment trouble shooting as per written SOP
    • Alarm activation review with CCTV access
    • Logging notes with overtime/roster changes
    • Escalation to senior DM if required
    • Admin support (e.g. Orchestrator) for senior DM
    • Logging and classifying all DM calls to report on, identifying trends and taking action with education opportunities
    • Maintaining proper file notes for shift withdraws against staff to properly performance-manage staff that repeat withdraw

Immediate Secondary Duties

  • Employment Support

    • NA List
    • Abandonment List
    • Upcoming expiring quals follow ups

Bookings Support

  • Quote follow ups based on CRM rule (future role)
  • Last year event client follow ups (check Orchestrator last year vs this year 3 months in advance, cross reference with MYOB/CRM if not yet RFQ for this year, prompt with email offering our services)

Major event support

  • Post event reporting

Administration and Projects Assistance

  • Create orders in MYOB and setup bookings in our rostering system (Orchestrator)
  • Basic Travel Administration
  • Post Event Reporting (Excel)
  • Operations Plans (templated - MS word)
  • Support for Meetings (Presentations, Agendas, Minutes etc)
  • Intranet support and maintenance
  • Support internal comms (mailchimp style)
  • ISO Accreditation Admin support
  • Policy and process documentation admin support
  • Other general admin support to the Executive and Management Team

What we're looking for

  1. Minimum 2 years' experience in an administrative or project support role, preferably within a fast-paced, dynamic environment
  2. Strong organisational and time management skills, with the ability to prioritise tasks and work under pressure
  3. Excellent communication and interpersonal skills, with the ability to interact effectively with colleagues at all levels
  4. Proficient in using standard office software, such as MS Office suite, and the ability to quickly adapt to new systems and processes
  5. A proactive, solutions-oriented approach and a keen eye for detail
  6. Flexibility to work during night shift hours
