Platinum Outsourcing is one of Australia's fastest growing companies, we are a co sourcing BPO – operating out of both the Philippines and Indonesia. We are a fast growing scale-up, opening our first offices in the Philippines only 4.5 years ago, currently a global team of 250, we have plans to expand to 500+ employees over the next 3 years.
Our client is seeking a proactive, detail-oriented HR/Recruitment Administrative Assistant to drive backend coordination, onboarding documentation, data management, and initial pipeline assistance. Operating with a high degree of autonomy, you will ensure candidate pipelines move efficiently and operational data remains impeccably accurate. Note: This is strictly an administrative and backend operational support role; final interviews and selection are handled by the frontline recruitment team.
About the role
1. Recruitment Support & Pipeline Coordination
- Post, update, and manage job advertisements across designated platforms.
- Conduct initial application screenings and shortlist viable candidate profiles.
- Coordinate onboarding workflows, including sending out welcome emails and materials.
- Gather, track, and audit candidate documentation to ensure compliance.
- Actively follow up with candidates regarding outstanding paperwork and signed contracts.
- Compile and prepare executive-ready reports tracking essential recruitment KPIs (vacancy counts, priorities, onboarding/offboarding metrics).
- Cross-check and verify all incoming recruitment data for complete accuracy.
- Maintain reporting continuity using Excel and NEAP, while helping transition workflows toward future Power BI and AI agent automations.
3. HR Support
- Drafting letters, note-taking and collation, and supporting with HR meeting coordination
About you
- A strong administrative background coupled with foundational HR or recruitment experience for an Australian company (this is not an entry-level position).
- Proven ability to manage online administrative tasks independently and efficiently.
- High attention to detail regarding compliance audits, file management, and workflow deadlines.
- Comfortable executing established onboarding compliance processes and escalating complex queries when necessary.
- Basic to moderate Excel proficiency (focused on data organization and verification) and the capacity to adapt to tools like NEAP, Power BI, and emerging AI platforms.
