3-Month Fixed-Term Contract · Reports to Senior Corporate Counsel

Role Overview

Our in-house legal department is seeking a Legal Operations Coordinator for temporary support during a period of increased demand and reduced capacity. The right candidate can come in quickly, get up to speed with minimal hand-holding, and deliver reliable, accurate work under pressure from day one.

Key Responsibilities

Request Intake & Triage

  • Review and process 50–150 incoming legal requests per day across multiple channels
  • Assess each request for urgency, complexity, subject matter, and language requirements
  • Prioritize and escalate time-sensitive matters without prompting
  • Ensure all requests meet intake requirements before routing

Routing & Assignment

  • Assign requests to the appropriate attorney based on practice area, seniority, and availability
  • Direct complex and sensitive matters to senior attorneys; route routine matters accordingly
  • Match requests to attorneys with required language skills (English, French, Arabic)

Matter Tracking & Stakeholder Communication

  • Maintain an accurate, real-time log of all open requests and their current status
  • Serve as the primary point of contact for business stakeholders seeking updates
  • Proactively communicate delays, ownership changes, or additional information needs
  • Follow up with attorneys to ensure no request falls through the cracks

Administrative Support

  • Provide general administrative support including scheduling and document management
  • Help maintain and improve intake workflows and tracking systems
  • Assist with ad hoc projects and department initiatives

Requirements

Experience

  • 3–5 years in a legal operations, legal administrative, paralegal, or similar role (law firm or in-house)
  • Demonstrated experience managing high volumes of tasks and matters simultaneously
  • Familiarity with legal terminology and how a legal team operates

Skills

  • Exceptional organizational skills and attention to detail
  • Strong sense of urgency and independent judgment on complexity and priority
  • Clear written and verbal communication with both legal and non-legal stakeholders
  • Proficiency with matter management or legal intake tools (Legal Tracker, TeamConnect, Jira, or similar)
  • Comfortable with spreadsheets and standard office tools (Microsoft Office or Google Workspace)
  • Discretion and professionalism with confidential information

Languages

  • Full professional proficiency in English required
  • French proficiency is a strong plus

Contract Terms

This is a 3-month fixed-term contract intended to address a specific period of increased demand. Candidates should expect and plan for the contract to conclude at the end of that term. Extension or conversion to a permanent role is possible depending on workload and headcount decisions at that time, but is not assured and should not be the primary basis for applying. Strong performers will be considered for any permanent openings that arise.
