We are looking for a Safety & Office Administrator to join our Facilities team in Manila. This is a full-time, fully onsite role based in our Manila office.

What you will be doing

In this varied role, you will support the smooth day-to-day running of the office while also helping deliver the firm's Occupational Health and Safety Programme. You will be responsible for a wide range of facilities, administrative, safety, supplier, and office coordination activities, working closely with internal stakeholders, external suppliers, building management, and government agencies.

Your responsibilities will include:

  • Providing administrative support to senior management and internal teams
  • Managing office communications, correspondence, visitors, deliveries, and essential documents
  • Supporting facilities management, including office maintenance, repairs, cleanliness, and coordination with contractors and building management
  • Managing office supplies, inventories, procurement, supplier canvassing, price negotiation, shipments, and deliveries
  • Supporting budgeting and finance-related administration, including expense reports, invoices, petty cash, cash advances, and liquidations
  • Coordinating company events, meetings, committee initiatives, refreshments, catering, and office activities
  • Facilitating the processing and renewal of business permits, certifications, and regulatory requirements
  • Supporting the implementation and promotion of Pepper Money's Occupational Health and Safety Programme
  • Conducting safety awareness activities, supporting OSH reporting, coordinating emergency procedures, and helping maintain a safe and well-organised workplace
  • Supporting ESG, DE&I, wellbeing, risk, governance, and other business initiatives as needed

What we are looking for

We are looking for someone highly organised, proactive, and detail-oriented, with the ability to manage multiple priorities in a fast-paced office environment. You will be approachable, confident, professional, and comfortable working with colleagues, suppliers, visitors, and external partners.

The ideal candidate will have:

  • Minimum of 2 years' experience in office administration
  • Previous office or facilities administration experience
  • Basic Occupational Safety and Health Training for Safety Officer 2, DOLE-accredited
  • Strong organisational and time-management skills
  • Good working knowledge of Microsoft Office, including Word, PowerPoint, and Excel
  • Strong IT and typing skills
  • Ability to prioritise tasks and work well under pressure
  • Strong attention to detail and problem-solving skills
  • Excellent interpersonal, oral, and written communication skills
  • Strong relationship management and customer service focus
  • Flexibility, resilience, and the ability to work independently and as part of a team

Desirable, but not required:

  • Occupational First Aid and Basic Life Support Training
  • Fire and Electrical Safety Training
