Your Key Responsibilities:

Administrative & Project Support

  • Assist the Manager with daily management: timesheets, expense reports, team coordination.
  • Organize meetings, draft minutes, and follow up on action items.
  • Handle correspondence, scheduling, and general administrative tasks.
  • Ensure compliance with internal procedures and document standards.

Logistics & Mobility Support

  • Coordinate travel for international visitors (transport, accommodation, visas).
  • Facilitate onboarding and integration of staff on-site.
  • Manage local logistics: housing, vehicles, office spaces, guest house.

Document & Data Management

  • Oversee internal and external project documentation: accuracy, version control, compliance.
  • Maintain and update document databases for easy access.
  • Conduct regular quality checks on documents.
  • Contribute to progress reports and milestone tracking.

Your Profile

  • Minimum 2 years of experience in administrative support / document control.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Strong organizational skills, multitasking, and prioritization.
  • Fluent in written and spoken English (French, Spanish, or Italian is a plus!).
  • Valid drivers license + personal vehicle (mandatory).
  • Experience in engineering or construction is a plus.
  • Familiarity with document control systems (Aconex is a strong asset).
