Job Purpose
The Interview Logistics Coordinator is responsible for delivering seamless logistics, coordination, communication, and administrative support for candidates and stakeholders throughout the interview process. The role ensures that all arrangements are efficiently managed, accurately tracked, and aligned with organizational standards.

Key Responsibilities

  • Coordinate end-to-end interview logistics, ensuring candidates and stakeholders are supported with accurate schedules and timely communication.
  • Arrange travel, accommodation, meet & greet services, and other requirements for candidates as needed.
  • Track and log all interview-related information and updates in the appropriate systems.
  • Liaise with internal teams, candidates, and external vendors to ensure interview processes are executed efficiently and professionally.
  • Communicate special instructions, requirements, or services to candidates and stakeholders to provide a high-quality experience.
  • Monitor timelines and ensure all interview activities are carried out in line with agreed deadlines.
  • Provide administrative support including document preparation, record keeping, and reporting related to interview logistics.

Qualifications & Skills

  • Bachelors degree in Business Administration, Human Resources, or a related field (preferred).
  • Previous experience in coordination, HR support, or administrative logistics roles is advantageous.
  • Strong organizational and time management skills with attention to detail.
  • Excellent communication and interpersonal skills to engage with candidates and stakeholders effectively.
  • Proficiency in MS Office and familiarity with HR systems or applicant tracking systems.
  • Ability to work under pressure and manage multiple tasks in a fast-paced environment.
  • Customer service-oriented mindset with a commitment to providing a positive candidate experience.
