ADMINISTRATION – IMPORT & EXPORT STAFF
SECTION A – GENERAL INFORMATION
- Position Title: Administration – Import & Export Staff
- Department: Administration – Human Resources Department
- Work Location: Company Office, Km 10, Bachiang, Champasak, Laos
Basic Benefits:
- Salary: USD 460 – 600/month
- Social insurance, meal allowance, holiday bonus

SECTION B – JOB PURPOSE
Assist the Department Manager in carrying out tasks related to administration, internal communication, protocol & hospitality, government relations, and office administration in compliance with local regulations and company policies.
SECTION C – KEY RESPONSIBILITIES
1. Administrative Documentation & Internal Communication
- Organize the receipt, issuance, registration, and filing of incoming and outgoing company documents and records.
- Receive documents submitted for approval, review document formatting, classify records and documents, and submit them to the appropriate department/person in charge.
- Issue and communicate company documents internally and externally.
2. Protocol & External Relations
- Organize logistics and support for company meetings, events, receptions, and hospitality activities for company management.
- Monitor, manage, and purchase goods and gifts for external relations and guest reception purposes.
3. Office Administration
- Handle purchasing procedures and distribution of office supplies, equipment, and daily-use items for office operations.
- Manage and propose maintenance and repair of office facilities, roads, equipment, machinery, and infrastructure.
- Coordinate cleaning services, landscaping, security, and fire prevention & protection activities within the office area.
- Monitor and manage the operations of drivers, security guards, landscaping staff, and pantry/cleaning staff.
- Handle maintenance and servicing of company-owned vehicles and transportation equipment.
4. Information Technology Administration
- Support, implement, and manage IT-related issues used by employees across departments and production units within the company system.
- Research, propose, and provide training on IT applications to improve work efficiency.
5. Compliance Control
- Research and propose improvements to workflows and procedures to enhance operational efficiency.
- Inspect and monitor compliance with internal procedures, regulations, quality control standards, and company/ISO requirements.
6. Import & Export Documentation
- Prepare and review import-export documentation sets.
- Coordinate with logistics providers and customs authorities.
- Track shipment progress and delivery status.
- Coordinate with related departments.
- Maintain and archive import-export records and documents.
7. Other Duties
- Perform other tasks assigned by management.
SECTION D – JOB REQUIREMENTS
1. Education & Experience
- Minimum qualification: Diploma or above.
2. Skills & Competencies
- Proficient in Vietnamese and Lao languages (listening, speaking, reading, and writing).
- Proficient in Microsoft Office applications, especially Excel.
- Strong sense of responsibility, carefulness, honesty, and ability to work under pressure.
3. Other Requirements
- Nationality: Lao
- Good health condition suitable for the job requirements.
