Overview

The Office Manager in an automotive company is responsible for overseeing daily administrative operations, ensuring efficient office procedures, supporting staff, and maintaining smooth communication between departments such as sales, service, and finance.

Key Responsibilities

1. Office Administration

  • Manage daily office operations and administrative systems
  • Maintain office supplies, equipment, and vendor relationships
  • Ensure a clean, organized, and professional work environment

2. Staff Coordination

  • Supervise administrative staff (receptionists, clerks, etc.)
  • Schedule shifts, manage attendance, and support HR processes
  • Assist in onboarding new employees

3. Financial & Documentation Support

  • Handle invoicing, billing, and basic accounting tasks
  • Maintain accurate records of transactions and customer data
  • Coordinate with the finance department on budgets and expenses

4. Customer Service Oversight

  • Ensure high-quality customer interactions at reception and over the phone
  • Handle escalated customer issues or complaints
  • Support service and sales teams with customer follow-ups

5. Automotive Operations Support

  • Coordinate between departments (sales, service, parts)
  • Track service schedules, appointments, and workflow
  • Maintain vehicle records, registrations, and documentation

6. Compliance & Reporting

  • Ensure compliance with company policies and industry regulations
  • Prepare reports on office performance, expenses, and operations
  • Maintain confidentiality of sensitive data

Requirements

Education & Experience

  • Bachelor's degree in Business Administration or related field (preferred)
  • 7-10 years of office management experience (automotive industry preferred)

Skills

  • Strong organizational and multitasking abilities
  • Excellent communication and leadership skills
  • Familiarity with automotive dealership operations
  • Proficiency in Microsoft Office and management software
  • Basic accounting knowledge

Preferred Qualifications

  • Experience in automotive dealerships or service centers
