Job Summary:
Responsible for overseeing facility operations, maintenance activities, office administration, travel arrangements, procurement processes, and workplace services to ensure efficient business operations. The role includes managing contractors and suppliers, coordinating office resources, supporting employees and expatriates, handling budgets and invoices, organizing corporate events, and ensuring compliance with company policies and operational standards.
Key Responsibilities:
Facilities & Maintenance Management:
- Manage maintenance contracts and negotiate competitive service rates.
- Supervise maintenance contractors to ensure quality standards and timely completion.
- Conduct preventive maintenance activities to minimize operational breakdowns.
- Assess facility issues and coordinate required repairs.
- Perform minor in-house maintenance activities when required.
- Ensure workplace cleanliness, safety, and operational readiness.
- Handle office renovations, relocations, and workspace allocation.
- Oversee expatriate apartments maintenance requirements.
- Monitor storage movements and inventory management.
Travel & Accommodation Management:

Coordinate staff travel arrangements including:
- Flight bookings
- Hotel reservations
- Transportation arrangements
- Supplier payment processes
- Manage overseas staff business trips according to company travel policy.
- Negotiate hotel corporate agreements and establish credit facilities.
Administration & Office Support:
- Providing general administrative support to all business units.
- Responsible for pre-printed materials and office supplies.
- Handling telephone bills and reviewing courier invoices and settlements.
- Renewing company subscriptions.
- Organize TEME events (seminars, conferences, team building, etc.
Procurement & Budget Control:
- Ensuring adequate supply of required materials and order placement timing.
- Responsible for controlling the purchasing budget and delivering cost savings for the company.
- Taking part in E-Proc process as an approver.
- Supplier invoices payment follow-up.
- Support invoice processing, petty cash, and office events.
Team Coordination & Monitoring:
- Monitoring supporting team attendance and overtime sheets.
Compliance & Governance:
- Apply and implement Anti-Corruption, Antitrust Compliance, and Integrity Policies and Programs.
- Implement required due diligence processes within area of responsibility.
- Apply ethical approaches and code of conduct values.
Workplace Safety & Risk Management:
- Promote a healthy workplace and mitigate significant workplace health risks.
- Ensure facility operations and maintenance activities are conducted safely to prevent incidents.
- Understand HSE risks linked to assigned activities and apply the appropriate preventive actions and behaviors.
Emergency Preparedness & Business Continuity:
- Be prepared for emergencies, control impacts, and reduce hazards.
- Assist in maintaining a safe work environment.
- Support fire drills and update Business Continuity Plans (BCP) to ensure compliance.
- Conduct four unplanned fire drills annually.
Contractor & Workplace Safety Compliance:
- Support contractors to ensure compliance with safety requirements.
- Ensure worksite safety through increasing collaborators' awareness regarding potential risks.

Implement action plans including:
- Safety procedures

- Safety training programs
Incident Response & Environmental Protection:
- Provide first aid support in case of incidents (fire, accidents, etc.).
- Promote quality, safety, and environmental protection across entity activities.
- Ensure adherence to HSE standards and safety regulations.
