Job Summary
The Expat Office Manager is responsible for overseeing the daily administrative operations of an office serving a diverse, multinational workforce. This role ensures efficient office management while supporting expatriate employees and fostering effective communication across different cultures and nationalities.
Key Responsibilities
- Manage the day-to-day office operations to ensure a productive work environment.
- Coordinate administrative support for expatriate and local employees.
- Handle office facilities, supplies, vendor relationships, and service providers.
- Assist with onboarding and orientation of international employees.
- Coordinate visa, residency, work permit, and relocation documentation with HR or external agencies (where applicable).
- Arrange travel, accommodation, transportation, and meeting logistics for expatriate staff and visitors.
- Maintain office policies and ensure compliance with company procedures and local regulations.
- Support multicultural communication and promote an inclusive workplace.
- Organize company events, meetings, and cross-cultural activities.
- Prepare reports, maintain records, and manage confidential documentation.
- Liaise with government authorities, embassies, and service providers when required.
- Supervise administrative staff and coordinate office budgets.
Qualifications
- Bachelor's degree in Business Administration, Management, or a related field.
- 3–5+ years of office management or administrative experience, preferably in an international or multicultural environment.
- Experience supporting expatriate employees is an advantage.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to work effectively with people from diverse cultural backgrounds.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Fluent in English; additional languages are an asset.
