Job Objective:

To oversee the daily operations of the reception area, ensuring efficient front-desk services, a professional company image, and excellent guest relations.

Key Responsibilities:

  • Supervise and coordinate the reception team to ensure smooth day-to-day front office operations.

  • Greet and assist visitors, clients, and staff in a professional and courteous manner.

  • Monitor incoming calls, emails, and inquiries, ensuring proper redirection and timely responses.

  • Ensure reception area is well-maintained, organized, and presentable at all times.

  • Train, mentor, and schedule reception staff to maintain high performance standards.

  • Handle escalated complaints or issues from guests and ensure effective resolution.

  • Maintain records of visitors, appointments, and meeting room schedules.

  • Collaborate with security for visitor access control and safety compliance.

  • Support administrative functions including courier services, office supplies, and facility requests.

  • Prepare regular reports on reception performance, visitor traffic, and service improvements.

Requirements:

  • Bachelors degree in Business Administration or related field (preferred).

  • Proven experience as a Receptionist, Front Office Supervisor, or in customer service.

  • Strong leadership and organizational skills.

  • Excellent communication and interpersonal abilities.

  • Proficiency in MS Office (Word, Excel, Outlook).

  • Professional appearance and customer-focused attitude.

  • Ability to work under pressure and manage multiple tasks.
