Clinic Administrative Coordinator

 Job Description:

Job Responsibilities:

assist patients to complete all necessary forms and documentation

verify and update patient information

inform patients of the clinic procedures and policy

move patients through appointments as scheduled

enter all relevant patient information into the data system

maintain and manage patient records in compliance with privacy and security regulations

answer and manage incoming calls

respond and comply to requests for information

confirm upcoming appointments and recalls according to office protocol

check daily appointment schedule

arrange patient charts for next day appointments

fill in cancellations and no-shows

collect and receipt payments from patients at the time of treatment

maintain a professional reception area

Job Qualifications:

Bachelor Degree graduate

English B2 or higher

Ability to communicate effectively in English both in writing and in person

Competencies Required:

Proven work experience as a Receptionist, Front Office Representative or similar role

Proficiency in Microsoft Office Suite

Hands-on experience with office equipment (e.g. fax machines and printers)

Professional attitude and appearance

Solid written and verbal communication skills

Ability to be resourceful and proactive when issues arise

Excellent organizational skills

Multitasking and time-management skills, with the ability to prioritize tasks

Strong interpersonal skills and ability to interact with patients, staff, and external partners with

professionalism and empathy

Strong sense of confidentiality and discretion.

Ability to remain calm under pressure and manage sensitive patient situations.
