Key Responsibilities
- Deliver Outstanding Customer Service: Maintain a consistently high level of service quality, professionalism, and efficiency when dealing with clients.
- Oversee Visa Operations: Supervise the full visa processing cycle from initiation to completion, ensuring smooth workflows and timely delivery.
- Client Consultation & Documentation Management: Advise clients on all required visa documents, verify completeness and accuracy, and review submissions thoroughly to prevent errors or delays.
- Application & Appointment Coordination: Prepare and submit visa application forms, arrange embassy or visa center appointments, and schedule interviews as required. Communicate all appointment details to clients promptly.
- Data Accuracy & Compliance: Ensure all client data is accurate, complete, and updated prior to appointments or interviews.
- Proactive Follow-Ups: Monitor visa applications closely and provide regular status updates to clients. Follow up with embassies, visa centers, and representatives until visa issuance and passport return.
- Visa Regulation Monitoring: Stay up to date with changes in visa regulations and ensure the team is informed to avoid processing issues.
- Handover Management: Provide clear and detailed case handovers before annual leave via email, and share case updates for casual leave through WhatsApp or phone.
- Team Leadership & Development: Guide, supervise, and support team members, manage workload distribution, and conduct performance evaluations.
- Cross-Department Communication: Maintain effective and transparent communication with internal teams and relevant departments.
- Workforce & Schedule Management: Organize team coverage during weekends, holidays, and leave periods to ensure uninterrupted service delivery.
- Embassy Requirements Control: Ensure embassy requirement checklists are regularly updated and accurate.
- Problem Resolution: Collect all relevant information before proposing solutions, actively listen, ask clarifying questions, and escalate issues when needed.
Daily Responsibilities
- Respond to client emails within 2 hours or acknowledge receipt.
- Share appointment details (date, time, and location) with clients promptly.
- Provide visa representative contact details within 24 hours.
- Follow up with visa representatives after client appointments.
- Track visa issuance and passport delivery until completion.
- Share visa cost details with the Travel Counselor.
- Submit a Daily Visa Report to the direct manager.
Important Notes
- In cases of duplicate payments, follow up with the embassy until the refund is completed.
- Confirm receipt of all required client documents and request any missing items immediately.
- Verify all case-related details, including payment method, required documents, and any additional requirements.
