Job Title: Logistics Specialist
Job Purpose
The Logistics Specialist is responsible for managing and coordinating the company's logistics and customs clearance activities, ensuring that imported and exported shipments are handled efficiently, accurately, and in compliance with Egyptian customs and regulatory requirements.
The role will coordinate with international suppliers, freight forwarders, customs brokers, shipping lines, customs authorities, internal departments, and customers to ensure timely and cost-effective movement of goods from origin to final destination.
Key Responsibilities
1. Import Logistics
- Manage the end-to-end logistics process for import shipments.
- Coordinate shipments with international suppliers, freight forwarders, shipping lines, airlines, and transport companies.
- Follow up on shipping schedules, ETAs, ETDs, and shipment status.
- Review shipping documents to ensure accuracy and completeness before shipment arrival.
- Coordinate transportation from ports/airports to the company warehouse or customer site.
- Ensure shipments are delivered within agreed timelines.
- Monitor delays, communicate potential issues, and take corrective actions.
2. Customs Clearance
- Coordinate and follow up on customs clearance procedures for imported shipments.
- Prepare and review customs documentation, including commercial invoices, packing lists, bills of lading/airway bills, certificates of origin, and other required documents.
- Coordinate with customs clearance agents and brokers.
- Follow up on customs inspections, declarations, duties, taxes, and release procedures.
- Ensure proper HS Code classification and documentation in coordination with relevant parties.
- Stay updated on Egyptian customs regulations, import requirements, and regulatory changes.
- Ensure compliance with applicable customs and import regulations.
3. Documentation & Compliance
- Maintain accurate logistics and customs records for all shipments.
- Verify that supplier documents meet company and customs requirements.
- Ensure proper documentation is available for audits and internal records.
- Coordinate with Finance and Operations regarding customs duties, freight costs, and related payments.
- Maintain an organized digital and physical filing system for logistics documents.
4. Freight & Cost Management
- Obtain and compare freight and logistics quotations when required.
- Coordinate with freight forwarders to obtain competitive shipping rates.
- Monitor freight, clearance, transportation, storage, demurrage, and other logistics-related costs.
- Identify opportunities to reduce logistics costs without compromising delivery timelines or service quality.
- Review logistics invoices and supporting documents before submitting them for payment.
5. Internal Coordination
- Coordinate closely with Procurement, Finance, Sales, Operations, and Warehouse teams.
- Provide regular updates on shipment status and expected arrival dates.
- Inform relevant departments of any delays, customs issues, additional costs, or documentation requirements.
- Coordinate with the warehouse to ensure readiness for incoming shipments.
- Support Sales and Operations teams with shipment-related information when required.
6. Supplier & Forwarder Management
- Maintain effective relationships with international suppliers and logistics service providers.
- Evaluate freight forwarder and customs broker performance.
- Follow up on service issues and ensure corrective actions are taken.
- Maintain a reliable network of logistics and customs service providers.
7. Reporting & Performance Monitoring
Prepare regular logistics reports covering:
- Open and in-transit shipments
- Expected shipment arrival dates
- Customs clearance status
- Delayed shipments
- Clearance lead time
- Freight and logistics costs
- Demurrage/storage costs
- Customs duties and related expenses
- Shipment delivery performance
- Logistics issues and corrective actions
Required Qualifications
- Bachelor's degree in Business Administration, or a related field.
- 3–5 years of relevant experience in logistics, import/export, and customs clearance.
- Strong practical knowledge of Egyptian customs clearance procedures.
- Experience dealing with freight forwarders, customs brokers, shipping lines, and international suppliers.
- Good knowledge of import/export documentation and shipping procedures.
- Good understanding of Incoterms.
- Good knowledge of HS Codes and customs classification.
- Good command of Microsoft Excel and Microsoft Office.
- Experience with ERP systems; Odoo experience is an advantage.
- Very good command of English, especially written and business communication.
