Job Summary

Premier NX is seeking a highly organized and proactive Junior Executive Assistant to serve as the second assistant within the Executive Office, providing administrative, operational, and coordination support under the guidance of the Primary Executive Assistant. The successful candidate will play a key role in ensuring the smooth day-to-day functioning of the Executive Office by managing schedules, coordinating meetings, tracking action items, and supporting various executive-level administrative tasks.

The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to maintain confidentiality while thriving in a fast-paced corporate environment.

Key Responsibilities

  • Assist the Primary Executive Assistant in managing calendars, appointments, meetings, and travel arrangements for the Executive Office.
  • Coordinate internal and external meetings, including scheduling, preparing agendas, and documenting meeting minutes.
  • Follow up with department heads on assigned action items and ensure timely completion.
  • Coordinate with local and global teams to schedule meetings across multiple time zones.
  • Prepare presentations, reports, dashboards, executive summaries, and business correspondence using Microsoft Office (Excel, PowerPoint, Word, Outlook) and Canva (preferred).
  • Track ongoing projects and provide regular status updates to the Primary Executive Assistant.
  • Maintain confidentiality while handling sensitive business information and documentation.
  • Provide administrative and operational support for Executive Office initiatives as assigned.
  • Perform additional duties and special projects as directed by the Primary Executive Assistant or reporting manager.

Qualifications

  • Bachelor's degree in Business Administration, Management, Human Resources, or a related field.
  • Minimum 2 years and up to 7 years of experience as an Executive Assistant, Administrative Assistant, Office Coordinator, or in a similar administrative support role.

Required Skills

  • Excellent verbal and written English communication skills.
  • Strong organizational, planning, and multitasking abilities.
  • High level of professionalism, discretion, and confidentiality.
  • Strong follow-up, coordination, and stakeholder management skills.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).
  • Experience with Canva is an added advantage.
  • Ability to work independently while collaborating effectively with the Executive Office team.
  • Strong problem-solving, prioritization, and time management skills.

Preferred Skills

  • Experience supporting executive office operations or senior leadership teams.
  • Strong knowledge of meeting management, business correspondence, and executive documentation.
  • Prior exposure to BPO, shared services, or multinational corporate environments is preferred.
