About the Role:
We're looking for a highly organized, solutions-oriented Production & Labor Coordinator to join our team and directly impact the success and profitability of our live events. This person should have a strong understanding of the industry, an eye for great freelance talent, and the logistical mindset to fill key roles efficiently and effectively. You'll be trusted to run your lane without micromanagement and work alongside a small, focused team that values creativity, ownership, and follow-through.
This role is split between labor coordination and gear/trucking coordination.
Key Responsibilities:
- Source, schedule, and confirm freelance crew (W2 or 1099) for 510 large-scale events per month
- Negotiate crew rates based on event budgets and role priorities
- Use Lasso to manage crew scheduling; maintain and optimize freelancer database
- Ensure all onboarding documents are completed and up to date (contracts, tax forms, compliance)
- Communicate clearly with the crew before, during, and after events to ensure alignment and readiness
- Issue POs, update pay rates, and track freelancer details for internal records and event wrap-ups
- Coordinate travel and lodging for out-of-town crew (approx. 40%); handle per diem, expense reporting, and itineraries
- Assist with gear rentals and trucking logistics using Flex Rental Solutions (or similar)
- Bridge communication gaps between freelancers and the production team, you're the connective tissue that keeps projects moving
What You Bring:
- Experience in a Labor Coordinator or Production Coordinator role within live events (non-negotiable)
- Deep understanding of event crew dynamics, freelance talent pools, and booking logistics
- Strong organizational skills and attention to detail you catch what others miss
- Excellent communication and negotiation skills
- Ability to think creatively when problem-solving or scheduling under pressure
- Familiarity with labor and rental software tools like Lasso, Flex, or Rentman
- A passion for this industry and the people in it, you know what makes a great tech and how to pick the right one
Nice to Have:
- Experience managing expense reports and travel logistics
- Understanding of how to balance profitability with quality in event execution
- Previous work coordinating labor on a mix of local and out-of-state events
