Our client, a dynamic and fast-paced corporate company, is seeking a highly organised, professional, and proactive Personal Assistant to provide comprehensive administrative and operational support to the Director.
The successful candidate will play a key role in ensuring the smooth day-to-day management of the Director's schedule, communications, projects, and business operations. This role requires exceptional organisational skills, attention to detail, discretion, and the ability to work efficiently in a creative, deadline-driven environment.
Key Responsibilities
- Executive & Administrative Support
- Manage and coordinate the Director's diary, meetings, appointments, and travel arrangements
- Screen calls, emails, and correspondence, responding where appropriate
- Prepare meeting agendas, presentations, reports, and minutes
- Organise and maintain filing systems, records, and confidential documents
- Assist with drafting professional correspondence and proposals
- Monitor deadlines and follow up on outstanding tasks and action items
- Project & Operational Coordination
- Assist with the coordination of projects and timelines
- Liaise with clients, suppliers, contractors, and service providers professionally
- Track project progress and ensure documentation is up to date
- Coordinate site visits,and meetings where required
- Assist with procurement, quotations, invoicing, and supplier communication
- Support the Director with daily operational requirements and problem-solving
- Act as the first point of contact for clients and stakeholders
- Maintain professional client relationships and ensure exceptional service delivery
- Handle sensitive information with confidentiality and discretion
- Ensure all client communications are handled promptly and professionally
Minimum Requirements
- Minimum 3–5 years' experience as a Personal Assistant, Executive Assistant, or similar role
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with project coordination and diary management essential
- Excellent written and verbal communication skills
- Highly organised with strong multitasking abilities
- Ability to work under pressure and meet tight deadlines
- Professional presentation and interpersonal skills
- Valid driver's licence and own reliable transport advantageous
