Our client, a dynamic and fast-paced corporate company, is seeking a highly organised, professional, and proactive Personal Assistant to provide comprehensive administrative and operational support to the Director.

The successful candidate will play a key role in ensuring the smooth day-to-day management of the Director's schedule, communications, projects, and business operations. This role requires exceptional organisational skills, attention to detail, discretion, and the ability to work efficiently in a creative, deadline-driven environment.

Key Responsibilities

  • Executive & Administrative Support
  • Manage and coordinate the Director's diary, meetings, appointments, and travel arrangements
  • Screen calls, emails, and correspondence, responding where appropriate
  • Prepare meeting agendas, presentations, reports, and minutes
  • Organise and maintain filing systems, records, and confidential documents
  • Assist with drafting professional correspondence and proposals
  • Monitor deadlines and follow up on outstanding tasks and action items
  • Project & Operational Coordination
  • Assist with the coordination of projects and timelines
  • Liaise with clients, suppliers, contractors, and service providers professionally
  • Track project progress and ensure documentation is up to date
  • Coordinate site visits,and meetings where required
  • Assist with procurement, quotations, invoicing, and supplier communication
  • Support the Director with daily operational requirements and problem-solving
  • Act as the first point of contact for clients and stakeholders
  • Maintain professional client relationships and ensure exceptional service delivery
  • Handle sensitive information with confidentiality and discretion
  • Ensure all client communications are handled promptly and professionally

Minimum Requirements

  • Minimum 3–5 years' experience as a Personal Assistant, Executive Assistant, or similar role
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with project coordination and diary management essential
  • Excellent written and verbal communication skills
  • Highly organised with strong multitasking abilities
  • Ability to work under pressure and meet tight deadlines
  • Professional presentation and interpersonal skills
  • Valid driver's licence and own reliable transport advantageous
