Proactive Projects Pty Ltd is seeking a highly organised and proactive Project Administrator to join our growing team in Cairns.

This role will support a major capital works program within the water and waste infrastructure sector, working closely with the program management team and project managers to ensure projects are effectively planned, scheduled, and delivered.

About the Role

As the Project Administrator, you will play a key support role in the successful coordination and administration of multiple capital projects.

A core focus of this role will be project scheduling, data management, and project support activities, ensuring project information remains accurate, current, and accessible across the program. With an extensive portfolio of projects planned over the next 3–10 years, these projects require a master schedule to detail project timelines and capital allocations. This is to be developed in collaboration with the Project Managers. Additional tasks will involves developing tender documents for pre-procurement and post-procurement activities, as well as general support and assitance for the project managers. 

Key Responsibilities
  • Assist Project Managers with scheduling and coordination of capital projects using Microsoft Planner
  • Maintain project schedules, milestones, deadlines, and resource tracking
  • Perform high-volume data entry and ongoing data maintenance
  • Maintain accurate project documentation, registers, and records
  • Support project budget tracking and reporting activities
  • Coordinate meetings, prepare agendas, and record meeting minutes
  • Track project progress and provide regular updates to the project team
  • Manage project correspondence and administrative documentation
  • Assist with project risk and issue registers
  • Support project planning, research, and execution activities
  • Ensure documentation complies with internal procedures and project governance requirements
  • Provide day-to-day project support across the broader program management team
About You

To be successful in this role, you will ideally have:

  • Previous experience in project administration, project support, or a similar coordination role
  • Strong organisational and time-management skills
  • High attention to detail and strong data accuracy skills
  • Excellent written and verbal communication skills
  • Experience using Microsoft Office Suite, particularly Excel, Outlook, and Planner
  • Ability to manage multiple priorities and deadlines
  • A proactive, solutions-focused mindset
  • Ability to work both independently and collaboratively within a team
  • Understanding of project delivery methodologies and project lifecycle principles
  • Experience in infrastructure, utilities, construction, or local government projects is highly regarded
