Job Title: Administrator (Estate Agency)

Working Hours: Monday to Friday, 08h30 – 14h00

Role Overview:
We are seeking a professional, reliable, and detail-oriented Administrator to join a busy estate agency based in Durbanville. This is a key in-office support role, providing essential administrative assistance to the Office Manager as well as the rental and sales teams.

The successful candidate will play an integral role in ensuring the smooth day-to-day running of the office. The role requires a highly organised individual who is comfortable managing multiple administrative functions, communicating with clients, and maintaining accurate records within a fast-paced property environment.

A strong focus of this position is on property-related administration, including lease management and financial capturing. The ideal candidate will have a proactive approach, strong attention to detail, and the ability to work both independently and as part of a collaborative team.

Key Responsibilities:

  • Provide day-to-day administrative support to the Office Manager and rental/sales teams
  • Manage and respond to tenant and landlord queries in a professional and timely manner
  • Assist with the drafting, preparation, and administration of lease agreements and renewals
  • Maintain accurate and up-to-date property, tenant, and landlord records
  • Capture, reconcile, and track levies, municipal accounts, and other property-related expenses
  • Liaise with landlords, tenants, and service providers regarding accounts and property matters
  • Ensure all documentation is correctly filed, organised, and easily accessible (both digitally and physically)
  • Support the onboarding of new tenants, including compiling and processing relevant documentation
  • Assist with general office coordination and ensure smooth day-to-day operations
  • Monitor deadlines and follow up on outstanding documentation or actions
  • Work closely with the team to ensure compliance with internal processes and procedures

Minimum Requirements & Skills:

  • Previous administration experience (property or real estate experience advantageous)
  • Strong organisational skills with excellent attention to detail
  • Good numerical ability and confidence working with accounts and reconciliations
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Ability to multitask, prioritise, and meet deadlines
  • Professional, reliable, and well-presented
  • Comfortable working in a structured, office-based environment
