What You'll Be Doing

As part of the reservations team, you'll play a key role in managing the booking journey from enquiry to confirmation while ensuring every guest receives outstanding service.

Your responsibilities will include:

Reservations & Guest Service

  • Managing reservation enquiries via email and phone with professional, friendly communication

  • Responding to enquiries within a 2-hour response window

  • Converting enquiries into confirmed bookings

  • Accurately loading reservations into the PMS system

  • Preparing quotes, confirmations and managing booking details

  • Ensuring all reservations are checked and verified before arrival (60, 40, 30 and 14 days where applicable)

  • Managing guest profiles and ensuring all information is captured correctly

  • Coordinating special requests, VIP guests and special occasions

  • Booking additional services such as transfers, tours and charter flights

  • Maintaining organised and accessible reservation records

Sales & Revenue Focus

You'll also support the team in maximising revenue and occupancy through effective reservations management.

This includes:

  • Upselling guests to higher room categories

  • Ensuring deposits and payments are collected in line with booking terms

  • Managing cancellations and no-shows according to company policy

  • Using effective follow-up systems to convert tentative bookings

  • Monitoring competitor pricing and industry developments

  • Ensuring all bookings are accurately tracked for reporting and source analysis

Rates & Systems

  • Maintaining strong knowledge of all property rates, offers and packages

  • Ensuring rates are correctly loaded and applied in the PMS

  • Allocating correct STO rates to agents

  • Working closely with the Sales team to distribute agent rates

  • Maintaining accurate reservation data and reporting

General Responsibilities

  • Working in a multi-property reservations environment

  • Maintaining organised client folders and reservation documentation

  • Keeping client work boards updated on Monday.com

  • Building relationships with key booking partners such as:

    • Booking platforms

    • Online travel agents

    • Industry suppliers

  • Identifying potential opportunities that could develop into future business

  • Supporting the team in maintaining industry-leading reservation standards

What Were Looking For

The ideal candidate will bring:

  • Experience working in hotel or hospitality reservations

  • Experience in a multi-property environment (advantageous)

  • Strong administration and organisational skills

  • Excellent attention to detail

  • Good numerical ability for rate calculations and discounts

  • Experience with NightsBridge and ResRequest (advantageous)

  • A proactive, solutions-focused attitude

  • Strong communication and guest service skills

Requirements

  • Must have the legal right to work in South Africa

  • Must live within 20km of the Durbanville office

  • Own reliable transport

  • Valid passport and willingness to travel when required
