JOB PURPOSE

To ensure the smooth running of the Islamabad office and to provide administrative support to regional colleagues and regional events.

PRINCIPAL ACCOUNTABILITIES

  • Office administration
  • To provide administrative support to the Country Director and other members of the regional team as necessary.
  • Ensure the smooth running of the local regional office
  • Establish and maintain administrative records and systems
  • To identify reliable local suppliers that offer value for money
  • To establish and monitor service contracts for IT and other systems
  • To manage and procure supplies of office and marketing materials for the local office
  • To prepare data required for (monthly) reports, as requested by Senior Managers.
  • To be responsible for basic book-keeping and accounts liaison with the Finance Department
  • To work with colleagues in global office to ensure bills and office invoices are settled in a timely manner
  • To handle all matters relating to postal and courier services within the office
  • Supporting the regional team
  • To work with the Schools Development Teams with the planning, organisation and implementation of local events including conferences, forums, seminars, workshops, inspection visits and ceremonies
  • To liaise with hotels, book venues and agree levels of service
  • To assist regional staff to make travel arrangements, as required.

KNOWLEDGE, SKILLS AND EXPERIENCE

Qualifications

Essential:

Bachelors Degree from a recognised university or equivalent qualification

Desirable:

University graduate

  • Awareness of the UK and international education systems
  • Excellent interpersonal skills
  • Excellent organisational and prioritisation skills
  • Ability to communicate effectively verbally and in writing with internal and external partners
  • Flexibility and problem solving skills
  • Good working knowledge of Microsoft Office applications, including Word, Excel and PowerPoint, high level skills with databases and a working knowledge of file management and the internet
  • Ability to push forward multiple tasks and priorities
  • Ability to work independently as well as part of a team
  • Positive attitude, ability to work well under pressure and use own initiative
  • Requires some flexibility in hours in busy times
  • Thoroughness with excellent attention to detail

Experience

Essential:

Previous experience of office administration

Previous experience of communicating with customers and suppliers

Desirable:

Previous experience of successful events

Previous experience in an international and/or educational institution and/or examinations board would be an advantage.
