Are you highly organised, detail-oriented, and passionate about supporting creative projects? Were looking for a proactive Project Administrator to join our architectural and building design practice. This role offers a unique blend of administration, client coordination, marketing support, and the opportunity to develop skills in sustainability compliance through training in Energy Ratings and Bushfire Attack Level (BAL) Reports.

What you'll do:

  • Answer calls and direct enquiries professionally.
  • Manage incoming emails and client communications with efficiency.
  • Assist in scheduling meetings, site visits, and team calendars.
  • Prepare and maintain digital project files and documentation.
  • Format reports, file permits, and assist with project paperwork.
  • Support preparation of quotes and invoices, following up with clients when needed.
  • Track staff timesheets and project deadlines.
  • Coordinate training schedules, leave requests, and staff availability.
  • Update company website and social media with project updates, photos, and testimonials.
  • Assist in creating newsletters and basic marketing materials.
  • Learn to prepare preliminary Energy Efficiency Ratings (NatHERS) and BAL Reports.
  • Stay updated on relevant building codes and sustainability standards.

What we are looking for:

  • Minimum 2 years experience in administration (preferably in architecture or construction).
  • Degree in Architecture or Engineering is a plus.
  • Strong communication skills, both written and verbal.
  • Experience with ClickUp or Pipedrive preferred.
  • Confident with Microsoft Office, Google Workspace, and online collaboration tools.
  • Professional phone manner and client-focused approach.
  • Interest in sustainability, construction, or architecture is an advantage.
  • Willingness to learn new software and compliance standards.
