Job Description: Sales Support / Personal Assistant

We are seeking a highly organised and proactive individual to join our team as a Sales Support / Personal Assistant. This dual role will provide comprehensive administrative and project-based support to our Directors, while also offering crucial sales support to a dynamic team of 15 sales professionals. The ideal candidate will possess exceptional attention to detail, strong organisational skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

Personal Assistant to Directors:

  • Project Management: Assist Directors with various day-to-day tasks and special projects, including the planning and costing for events such as awards nights, staff and client functions.
  • Event Coordination: Organise and manage event logistics for sales team promotions and other company-related events.
  • Bookings for Breakfast Sales Meetings
  • Travel & Accommodation: Handle booking accommodation for Directors and team members as required.
  • Reporting: Compile and submit quarterly complaints reports and music reporting for advertisements, along with Australian Music Content reporting.
  • Workflow Management: Learn and manage radio workflow processes, including entering bookings and managing daily radio logs. (Propriety software - Radio Work Flow)
  • Managing Leave Requests by staff

Sales Support Administration:

  • Sales Material Preparation: Prepare individualized sales packages and presentations for the sales team.
  • Proposal Proofreading: Meticulously proofread sales proposals to ensure accuracy, clarity, and adherence to brand guidelines.
  • Process Development: Create and implement efficient processes for new sales bookings.
  • Training Resource Curation: Curate and organize training assets for the sales team to ensure they have the necessary resources.
  • Promotional Communications: Draft and distribute winners' letters for sales promotions.
  • Website Collaboration: Work closely with the web development team to organize and update new sales packages on digital platforms.
  • Promotion Reminders: Proactively send reminders to the sales team regarding available promotions and incentives.
  • Lead Management: Respond to incoming sales inquiries via email and follow up on leads for the sales team.
  • Managing inbound leads and reporting sales results.
  • Building New Contacts in Radio Work Flow on inbound leads
  • Reporting & Follow-up: Run "Sales Missing Copy" reports and promptly notify the sales team of outstanding items.
  • Overdue Accounts - Work with the Accounts department to follow up on outstanding/overdue accounts and communication with the sales team
  • Sales Promotion Management: Project manage various sales promotions from inception to completion.

Skills & Qualifications:

  • Attention to Detail: Exceptional attention to detail and a keen eye for accuracy in all tasks.
  • Proofreading Proficiency: Strong ability to proofread documents thoroughly and identify errors.
  • Multitasking & Prioritisation: Proven ability to handle multiple tasks concurrently, prioritise effectively, and meet deadlines.
  • Process Adherence: Meticulous approach to following established processes and procedures.
  • Google Suite Proficiency: Competent user of Google Suite applications, including Gmail, Google Sheets (or Microsoft Excel), and Google Slides (or Microsoft PowerPoint).
  • Team Collaboration: Ability to effectively manage workload and support a team of 15 sales professionals.
  • Communication: Excellent verbal and written communication skills.
  • Proactive Attitude: A self-starter with a proactive and problem-solving mindset.
